SOP FOR THE MANAGEMENT AND RETENTION OF MATERIALS DURING SAMPLE EXAMINATION.

This SOP outlines the procedures for managing and retaining materials during sample examination, with the following details: 

1.0 Purpose:

Establishing a procedure for the retention of test materials in the laboratory. 

2.0 Scope:

Applicable to all technical sections of the laboratory, including surgical pathology, molecular pathology, cytopathology, flow cytometry, hematology, and cytogenetics.

5.0 Instructions:

The list of test materials along with their retention period is given below:

Surgical Pathology (Including Histopathology, IHC, Cytopathology):

Wet tissue Paraffin blocks: 2 Weeks after the final report at RT.

Paraffin Blocks: 10 Years at RT.

All Slides (including control slides): 10 years at RT.

All fluids: 7 days at 2-8ºC.

Molecular Section: 

Blood/Bone Marrow samples: 7 days at 2-8 ºC.

Smears stained slides: 7 days at RT.

RNA/DNA/cDNA: 6 months at -70 ºC Deep Freezer.

FISH Slides: 15 Days at -20 ºC.

Fixed Cell Suspension for FISH: 15 Days at 2-8 ºC.

FISH Images: 20 Years.

Flow Cytometry:

Blood/Bone Marrow samples: 3 days at 18-21 ºC.

Slides: 5 Years at RT.

Cytogenetics:

Blood/Bone Marrow samples for Karyotyping: 7 days at 2-8 ºC.

Fixed Cell Suspension for Karyotyping: 15 days after the release of reports at 2-8 ºC.

Slides: 5 Years at RT.

Images: 20 Years.

Hematology: 

Blood/Bone Marrow Sample: 7 Days at 2-8 ºC.

Note:

-All slides and blocks are stored in appropriate storage cabinets/storage boxes serially for easy retrieval.

-Samples sent for consultation or related to legal proceedings are tagged and marked for identity, stored in respective storage areas.

-The retention plan for samples is followed as per the mentioned guidelines in case of the cease of operations due to any reason.

-All molecular samples stored in the Deep freezer are arranged as per the given Grid for easy retrieval when needed.
