SOP ON MAINTAINING LABORATORY LOG BOOK

1.0 PURPOSE :

1.1 To lay down the procedure for maintaining the laboratory log book.

2.0 SCOPE:

2.1 This SOP shall be applicable to all personnel working in the laboratory such as scientists and chemists.

3.0 RESPONSIBILITY:




3.1 Scientists, chemists, and heads of the department shall be responsible for the implementation of this SOP.

4.0 DISTRIBUTION

4.1 The Quality Assurance department is responsible for keeping SOP ‘Master Copy’ approved through the Quality Manager.

4.2 The copy of ‘Control Copy’ of SOP is being distributed in the department and placed near related Equipment/ Instruments if required.

6.0 PROCEDURE:

6.1 Laboratory log book is a data record book for recording daily activities related to respective Laboratory work.

6.2 Laboratory record log book shall be a bound book.

6.3 In case an incorrect entry is discovered it will be cut with a single horizontal line.

6.4 Laboratory notebook shall be issued to book scientists and chemists on request.

6.5 For different products different log books shall be maintained.

6.7 Laboratory book shall be issued by Quality Manager after stamping the blue color stamp on the very first page of the log book at the top right corner along with signature and date of issuing authority.

6.7 Each page of the log book shall be numbered by assistance to issue for Lab. activities.

6.8. All activities shall be recorded offline.

6.9 All activities shall be recorded in the same flow as the task is completed.

6.10 Logbook shall be maintained and preserved in a secure and confidential manner; it shall not be taken outside the laboratory.

6.11 All dates shall be indicated as DD/MM/YYYY, Where DD represents the date in numerical MM represents a month in numerical and YYYY represents a year in numerical.

6.12 The complete record book shall be reviewed for its technical adequacy and later on safely preserved in the archival area for future reference.

6.13 The laboratory note will be of two types, one that is issued to the scientist and chemist to record their daily activities and the second issued to the department for record instrument usage records, chemical usage records, and various scientific non-scientific entry records, etc.

7.0 PRECAUTIONS:

7.1 All entries shall be made without any ambiguity in simple and clear language.

7.2 All entries and required signatures shall be made in legible writing.

7.3 Overwriting and use of white correction fluid, black pen, and red pen are prohibited. If mistakes are made in recording information into the notebook, do not erase or use white-out. Instead, draw a line through the mistake and then continue recording the correct information.

7.4 Related references shall be clearly mentioned as and when required.
