STANDARD OPERATING PROCEDURE FOR PROCUREMENT, TRANSPORTATION AND ACCLIMATIZATION OF RESEARCH ANIMALS

1.0 OBJECTIVE: To design a Standard Operating Procedure that describes the procedure for Procurement, Transportation, and Acclimatization of Research Animals.

2.0 RESPONSIBILITY: It is the responsibility of the Animal House In-charge, Veterinarian, Principal Investigator, and Animal house personnel.

3.0 PROCEDURE:

3.1 PROCUREMENT-


3.1.1 Before ordering animals, it has to be ensured that the protocols have Institutional Animal Ethical Committee (IAEC) approval.

3.1.2 Approve housing through the facility supervisor before placing an animal order.


 

3.1.3 Contact information of the animal facility supervisor should be provided in an emergency.

3.1.4 Animal must be acquired or procured from CCSEA (CPCSEA) approved vendor or any legal source.

3.1.5 The order should be placed with the following details:

3.5.1.1 CPCSEA Registration Number

3.5.1.2 Institutional Animal Ethics Committee's approval for the animals required

3.5.1.3 Species

3.5.1.4 Strain

3.5.1.5 Age and /or weight range

3.5.1.6 No. of animals required

3.5.1.7 Sex

3.5.1.8 Date on which the animals are required

3.5.1.9 Nearest airport

3.5.1.10 Distance from the airport to the Institute

3.5.1.11 Telegraphic code, Fax number, and Telephone numbers of institute/contact person.

3.5.1.12 Residence Telephone number of the officer ordering for the animals.

3.2 TRANSPORTATION-

3.2.1 The mode of transport of laboratory animals depends on the distance, seasonal and climatic conditions, and the species of animals.

3.2.2 Animals can be transported by road, railways, or airways taking into consideration of above factors.

3.2.3 Animals are transported in a controlled air-conditioned environment to avoid the potential source of stress such as handling, transport container, loading/unloading, movement and vibration, sound, fluctuation of temperature, humidity, Disruption of light: dark regime.

3.2.4 Transportation documents should be available as follow:

3.2.4.1 Licenses issued by the CCSEA (CPCSEA)

3.2.4.2 Crate labels, e.g. ‘THIS WAY UP’ (orientation arrows), feeding guide, full consignee address and 24 hours contact telephone number

3.2.4.3 Definitive invoices for Customs purposes

3.2.4.4 Fitness to travel documents

3.2.4.5 Individual or group animal records

3.2.4.6 Health certificate

3.2.4.7 Packing list

3.2.4.8 Route plan or Animal Transport Certificate

3.2.4.9 Vehicle registration details and insurance

3.2.4.10 Species-specific space, substrate, nesting material, food, and water requirements

3.2.4.11 Proposed and actual rest periods

3.2.4.12 Date and times the animals were packed, loaded, and departed with clear ‘LIVE ANIMALS’ and orientation arrows

3.2.5 Animal details:

3.2.5.1 Species, strain, scientific name, number, sex, age, weight, and identification numbers.

3.2.5.2 Animals must be provided with adequate bedding and sufficient food and water or suitable alternative sources of fluid and nutrients for at least twice the expected duration of the journey.

3.3 RECEIVING RESPONSIBILITIES OF FACILITY STAFF:

3.3.1 Inspect shipping containers for damage upon arrival.

3.3.2 Compare the packing slip contents to the original animal order and to the content of the shipment to make sure they are consistent with one another.

3.3.3 Report the following information to the facility supervisor and the PI  Deviation from the order

3.3.3.2 Shipping container damage

3.3.4 Review the following information and transfer it to the animal’s record-

3.3.4.1 Health history

3.3.4.2 Date of Birth

3.3.5 Ensure all animals received from approved vendors are observed by animal care personnel. Report al abnormalities to a veterinary care staff member.

3.3.6 Health records should be checked and signed by veterinary care staff.

3.3.7 Animal should be quarantined as per SOP for a minimum period of 7 days.

4.0 PRECAUTIONS:

4.1 The labelings should be done carefully.

4.2 If any animal is found dead on arrival, immediately report to the vendor.

4.3 The ratio of male: to female should be checked on arrival.

4.4 Health details of the research animals should be verified thoroughly.
